Forms Setup

When an employee attempts to view or print year-end forms from eSuite, the following server error may occur:

This error most commonly occurs if your organization is licensed to Forms but the application is not set up completely in the New World ERP environment.

You may bypass this issue in the following ways:

• Complete the Forms setup for year-end forms in your organization’s environments.
• If your organization is not ready to complete the Forms setup in your production environment, mark the Print Year End Forms as SSRS only check box, located in eSuite > eHR > eEmployee > Miscellaneous Settings. When Print Year End Forms as SSRS only is activated, the year-end forms print on the standard eSuite layouts.
• To turn off Forms in your environment, modify the Forms tile within the New World Management Console.

Tip: The server error also may occur if you do not use Forms and the setup for year-end forms for publication in eSuite is incomplete.

New World ERP patch 2021.1.5 included modifications to the way eSuite and the year-end forms function. These changes impacted the ability of employees to view/print their year-end forms in eSuite. New World ERP patch 2021.1.7 provided a Print Year End Forms as SSRS only check box that circumvents an incomplete setup of Forms. Once you have completed the Forms setup, you may clear the check box so Forms will be used.

The error that occurred with patch 2021.1.5 is not unique to Forms. This error typically indicates incomplete setup of year-end forms and eSuite view/print options for employees.

New World ERP environments display the Forms layouts for year-end forms in eSuite when the Forms setup is complete.

If Forms are partially set up on the New World environment, the eSuite year-end forms generate an error.

The system began checking for this with New World patch 2021.1.5.

The New World ERP environments may be partially set up for several reasons. The most common is during implementation of Forms. The Implementation team typically trains on a test or train environment. Once your organization has completed training, use of Forms begins on the production environment.

When your organization is licensed to use Forms, the patching process (Deploy) populates the Forms tile with a URL in the New World Management Console. If your organization is not using Forms in production and you want to turn it off, clear the URL field on the Forms tile. Each time your organization applies new patches, the URL field auto populates; therefore, you need to clear the URL field after running Deploy, until your organization goes live with Forms.

The other option is to turn on Print Year End Forms as SSRS only. This field is available in patch 2021.1.7 and higher.

1. In New World eSuite Administration, navigate to eHR > eEmployee > Miscellaneous Settings:
